RO-MAN 2025 is dedicated to fostering an inclusive and welcoming atmosphere for all attendees. This FAQ highlights the accessibility features and support available during the conference. How can I communicate my accessibility needs to RO-MAN 2025?

The Inclusivity and Accessibility Chairs for RO-MAN 2025 are Friederike Eyssel and Giulia Perugia. During registration, you’ll be asked about any accessibility needs you might have. The Inclusivity and Accessibility Chairs will follow up with you to ensure your needs are met.

What is the conference space like?

The Blauwe Zaal (Auditorium building) is the plenary room. The Auditorium and Senaatszaal will be used for exhibition and poster sessions.

The Auditorium building is accessible for wheelchairs. You can enter the building via the elevator (from outside) between Atlas and Auditorium. With this elevator you can go to the first floor, to access the Hal Auditorium and Senaatszaal/Voorhof.

In the Voorhof there is also an elevator which can take you to the Blauwe Zaal. With the elevator from outside you can go to floor 0 and access the rooms.

Will microphones be used during sessions?

Yes. All speakers will use microphones, and attendees will be asked to use a microphone when asking questions to ensure clarity and accessibility for all.

Can I bring my guide dog to the conference?

Yes, please indicate on your registration form if you plan to bring a guide dog.

What are the restroom facilities like?

Restrooms are available on each floor and include accessible restrooms. However, there are no designated gender-neutral restrooms at this time.

Will there be a designated quiet space at the conference?

There is a quiet room available at the conference venue. If participants would like to use this room, they can book it at the reception of the Atlas building .

Will there be a designated prayer space at the conference?

There is a prayer space available at the conference venue. If participants would like to use this space, they can book it at the reception of the Atlas building.

Will there be a designated lactation room at the conference?

There is a lactation room available at the conference venue. If participants would like to use this room, they can book it at the reception of the Atlas building.

What support is available for presenters with accessibility needs?

If you need help operating slides, getting on or off stage, or have other needs, please note your needs during registration.

Can a student volunteer assist me during the conference?

Yes, student volunteers can provide assistance during the conference. Please, request assistance in the registration form.

What food service will be provided?

Food with common restrictions will be prepared (including vegetarian, vegan, lactose, nut, gluten-free), any other particular request can be arranged but it has to be communicated in advance.

Can the conference accommodate special dietary needs?

Absolutely. Please specify your dietary needs on the registration form.

What are the transportation options to the conference venue?

Public Transport:
General info at www.9292ov.nl or by phone: 0900-92 92. You’ll need an OV-chipkaart (personal or anonymous) or a debit card to use buses and trains (via https://www.ovpay.nl/en ). Don’t forget to check in/out of buses and trains with your card (see https://www.ns.nl/en/travel-information/check-in-check-out/debit-card ).

From Eindhoven airport, use bus 400 or 401 to reach the city center.

Bicycle Rental:
You can rent a bike via Swapfiets or use an ov-bike with a personal transportation card ( https://www.ns.nl/en/door-to-door/ov-fiets/how-it-works.html ). Moreover, you can rent a shared moped with https://felyx.com/

Taxi:
Taxis from Eindhoven Airport take about 15 minutes to reach the city center.

Car & Parking (TU/e Campus):

○       Check the internal address of your destination before arrival.

○       See the parking plan map for parking locations.

○       There are 36 charging points for electric vehicles.

○       Disable your navigation at campus entry; the on-site system will guide you.

○       Paid parking is in effect.

○       Signposts and a dynamic guidance system will direct you to available spaces.

○       Accessible parking spots are available.
